Emergency Contacts and Wellness Checks
Emergencies can happen unexpectedly, and keeping your emergency contact information current is an important part of ensuring your safety and well-being. UNC Asheville maintains emergency contact information in OnePort to allow the University to respond appropriately in urgent situations.
Emergency contact information is confidential and will only be accessed when there is a legitimate business need, such as a health or safety emergency. The Office of Human Resources or Employee Relations may access this information and use it in accordance with established guidelines.
How to Update Your Emergency Contact Information
Employees are responsible for keeping their emergency contact information up to date in OnePort. We encourage you to review your information regularly and make updates as needed.
To update your emergency contacts:
- Log in to OnePort.
- Navigate to: Self Service Banner > General > Banner General Self-Service
- Under My Profile, click Personal Information.
- Under Emergency Contact, click the pencil icon to edit existing information or the plus (+) button to add a new contact.
- Save your changes.
Keeping this information current helps ensure we can reach someone on your behalf if needed.
Emergency Situations and Considerations
Situations that may require accessing an employee’s emergency contact information include, but are not limited to:
- An employee illness or medical emergency in the workplace.
- A workplace accident or injury.
- An employee out on leave who is unresponsive to communications from their supervisor.
- An employee who does not report to work as scheduled and cannot be reached through standard contact information.
In these situations, a supervisor may request emergency contact information from the Office of Human Resources or Employee Relations Manager.
When determining whether emergency contact information should be shared, the following should be considered:
- The seriousness of the health or safety emergency.
- Whether notifying the emergency contact supports the well-being of the employee.
- Whether the person requesting the information is in a position to manage or respond to the emergency.
- The time sensitivity of the situation.
When in doubt, supervisors should consult their assigned Employee Relations Manager before proceeding.
What to Do in an Emergency
In the event of an imminent threat to health or safety, call 911 immediately.
Your safety is always the top priority. In any situation involving an immediate or life-threatening emergency, such as a serious injury, medical crisis, fire, or active threat, call 911 immediately or contact UNC Asheville Campus Police, (828) 232-5000 (24/7), before taking any other action.
Emergency contact information is used to notify someone on your behalf when appropriate. It does not replace contacting first responders or emergency services. In urgent situations, trained emergency personnel should always be contacted first to ensure the fastest and most appropriate response.
Once immediate safety needs have been addressed, the Office of Human Resources may assist with contacting your designated emergency contact if needed and appropriate.
Wellness Checks
If an employee has been unresponsive to communications and cannot be reached through standard contact methods, a Wellness Check may be appropriate.
Before requesting a Wellness Check:
- Consult with the Employee Relations Manager to determine whether this is the appropriate course of action.
- Contact UNC Asheville campus police, (828) 232-5000 (24/7), to inform them that a Wellness Check may be requested.
If the employee’s residence is within city limits, the local police department conducts the Wellness Check. If the residence is in the county, the local sheriff’s office conducts the check. UNC Asheville campus police can assist in coordinating and ensuring the necessary information is provided.
If contact is made with the employee, the responding agency will instruct the employee to contact the Office of Human Resources.
