Employee Separations
At UNC Asheville, we hope your experience here adds value to your future endeavors. We recognize that transitioning out of the University is an important moment, and we want to provide guidance and resources to make the process as smooth and supportive as possible.
Offboarding describes the separation process when an employee leaves the University, whether through resignation, retirement, or termination. The employee, supervisor, and department OHR representative all play key roles in the process. Guides are provided that include action items to be completed prior to the employee’s last day of work. Utilizing these tools as soon as notice is given will ease the transition for both the employee and the department.
Department Offboarding Guide
We are committed to supporting employees during transitions. This guide helps departments and employees navigate the offboarding process, whether through resignation, retirement, or termination. Not every step applies to every situation.
- Complete the Employee Separation Form for standard separations (resignation, termination).
- Note: Retirements DO NOT use this online form, employees follow the retirement planning instructions instead.
- Submit written notice of departure to supervisor, usually at least 2 weeks notice (resignation or retirement).
- Update personal info (address) before departure.
- Return all University property (keys, equipment, library books, etc.).
- Contact department parking to remove parking privileges.
- Complete the Exit Survey: this provides feedback to the Office of Human Resources.
- Review benefits continuation, COBRA, retirement options, and leave payouts by reaching out to the Benefits Service Center at Phone: (919) 445-1352 or Email: benefits@northcarolina.edu
- Encourage/formally accept the separation.
- Help coordinate return of University property.
- Ensure employees complete separation requirements.
- Audit leave balances and finalize records.
- Support benefits continuation discussions.
- Vacation/bonus leave is paid out (subject to limits).
- Sick leave is not paid out but can be reinstated if returning to UNC/State employment within 5 years.
- Employees should notify the Benefits Service Center about retirement options well before last day.

Faculty Offboarding Guide
Faculty members who are planning to resign, retire, or otherwise separate from the University should initiate the process as early as possible. To ensure a smooth transition and to address benefits, payroll, and retirement considerations, faculty should contact Geralyn Coss, Academic Affairs Faculty Human Resources Specialist, at gcoss@unca.edu and the Benefits Service Center for guidance on the required steps and documentation. Early outreach helps ensure all University property is returned, access is properly managed, and retirement or separation benefits are accurately processed.

Separating/Retiring Employee Guide
Retirees follow separate instructions from standard separation. The Benefits Service Center provides guidance on retirement planning, payouts, and associated forms.
- The University administers retirement programs (TSERS, ORP).
- Retirement planning is typically initiated with benefits consultants months in advance of the intended retirement date to ensure timely processing.
