ITS Policies and Request Forms
UNC Asheville’s computer networks, equipment and resources are owned by the university and are provided primarily to support the academic and administrative functions of the university. The use of UNC Asheville IT resources is governed by federal and state law, and the university policies and procedures. Please e-mail or submit a ticket with the Service Desk to formally engage Information Technology Services for your needs.

Note: ITS does not manage access to distribution groups such as faculty_official (controlled by Academic Affairs), staff_official (controlled by Human Resources), or student_official (controlled by Student Affairs). Users will need to contact those divisions to request access to send to those groups.
Data Classification
UNC Asheville recognizes that data are among the most valuable assets owned by the institution and is taking steps to help identify and protect those assets through a classification system which incorporates the legal, academic, financial and operational requirements of data usage. Fundamental to data classification is a scheme of assessing the risk level of loss or theft of data and the criticality in performing the work of the institution.
Data which has legal protection and data which has implications of risk for the University are placed into categories that define the level of internal controls necessary to protect that data against compromise and inappropriate use. FIPS-199 was a standard adopted by the Federal Government to address data classification and is based on security objects and potential impacts.
The following table illustrates the 9 box FIPS-199 matrix and classification currently being implemented at UNC Asheville.

Information Technology Services (ITS) is charged with
- Ensuring optimum security and integrity of core institutional systems, accounts, data and networks;
- Ensuring business continuity and disaster recovery capabilities of core institutional systems and services and networks;
Ensuring that IT management policies and standards established by the North Carolina legislature, UNC Board of Governors and UNC President’s Office and the UNC Asheville Board of Trustees are fully implemented.
The resource management policies that specifically address safeguard university resources, are made in accordance with standard principles of acceptable practice and in keeping with institutional resources.

Sustainable Computing
As part of UNC Asheville’s sustainability efforts, ITS has made the following efforts towards environmentally responsbile computing:
- Configuration of faculty, staff, and lab computer hardware to meet or exceed Energy Star and/or EPEAT Gold standards.
- Our standard computer configurations include the most power efficient CPU and power supply options available.
- Configuration of faculty, staff, and lab computer software to reduce energy consumption when not in use.
- We engage vendors, such as Dell and Apple, who actively participate in programs to mitigate the environmental effects of computing and e-waste.
- We have moved to leasing most faculty, staff, and lab computers and servers.
- We have moved to a 4-year refresh cycle for faculty,staff, and lab computers. When compared to a common 3-year refresh cycle this means that we save more than 100 computers worth of e-waste per year.
- We have implemented a “one machine per FTE” refresh program to reduce the total number of computers on campus. Our estimate is that this will save 5-10 computers worth of e-waste per year.
- We offer laptops as a default package option for faculty users.
- We have moved to LCD displays wherever possible.
- We have consolidated the majority of campus servers into a VMware virtualized server environment or engaged off-campus hosted server solutions, such as Google Apps. This results in fewer physical computers in the campus server room (less e-waste) as well as significantly less electricity and heating/cooling used to run campus systems.
ITS also works with other campus organizations towards greener computing:
- We have worked with the Student Environmental Center and SGA to advocate duplex printing and facilitated duplex printing where possible across campus.
- We have worked with the Copy Center/Finance office to make the most of the available networked multi-function devices (copier, printer, scanner, fax) and advocated scan-to-email in place of printing.
- We have worked with the OneCard office to provide a print conservation/pay-for-print system for lab printing. Common metrics estimate up to a 50-60% reduction in printing under this sort of system.
- Prior to pay-for-print we had implemented a page count-based limitation on print jobs in campus computer labs. This limits individual print jobs to 50 pages or less. In the past it would not be uncommon for us to find several hundred pages of a print job left on the printer unclaimed and wasted.
- ITS has been an early adopter of the Bulldog Buyways electronic purchasing system. This should significantly reduce the paper consumption associated with purchasing everything from pencils to computers.
Future efforts in the area of sustainable computing will involve:
- Electronic document management. Can significantly reduce the amount of paper and toner used and the number of printers need on campus.
- Consolidation of printing devices. Instead of a desktop printer for every individual ITS encourages users and departments to consolidate their printing on to more cost efficient and less wasteful departmental printers and copiers.
- Scan to email. ITS works in collaboration with the Copy Center/One Card office to provide scan-to-email services wherever a multi-function printer/scanner/copied is available. These devices are available in some areas of campus now; future efforts will seek to make scan to email available to all campus printing stations.
Retirees
Retirees may request a UNC Asheville Retiree Email Account by contacting Human Resources. Your username will be xxxx@ret.unca.edu, where xxx is your current UNC Asheville username.
For all intents and purposes this is a completely separate email system from the one in which you had your faculty/staff account. This means that the Global Contacts lists will only contain the addresses of other retirees, not current UNC Asheville faculty, staff, and students. Should you need to find the address of a current faculty or staff member or a student you may use the published campus directory found on the UNC Asheville Website
Although you will not be on the Faculty/Staff Official lists, you may participate in the Retiree Official list and UNC Asheville Forum if you wish. Similar in function to the Faculty/Staff Official lists, the Retiree Official list can be used by retirees, faculty, and staff to communicate “official” messages relevant to the UNC Asheville retiree community. The existence of this list and its intended purpose have been announced to campus, but it is incumbent upon the senders of “official” announcements to include Retiree Official.
The UNC Asheville Forum is exactly the same Forum that you used as a Faculty or Staff member, we’ve just expanded it so that retirees can participate as well! Should you wish to “opt-in” to either the Retiree Official list or UNC Asheville Forum please send an email from your UNC Asheville Retiree Email Account to helpdesk@unca.edu with your request to join either (or both!) lists.
If your faculty/staff account is still active you may export your Contacts from your faculty/staff account to your Retiree account. Your email, documents, calendars, etc. within your faculty/staff account are technically the property of the university and the State of North Carolina, thus it is inappropriate for us to export that data into a “personal” account (such as your Retiree account).

- Directions for importing that list into your Retiree account Contacts.
We cannot create a forward from your faculty/staff account to your retiree account. Your faculty/staff account will be disabled and ultimately deleted as part of your retirement process, thus there will be nothing to “forward from” to your retiree account. It will be incumbent upon you to communicate your new retiree email account address to those contacts who may try to reach you at your faculty/staff address.
Retiree accounts are unsupported. Although we’re glad to be able to offer these accounts we unfortunately cannot offer full technical support to the ever-increasing number of UNC Asheville retirees. Google provides excellent on-line help. Discussion groups are also available to discuss issues with other Gmail users.
Wireless Internet access is limited to those who have an active relationship with the university. Retirees who are working with a department should contact that department to request guest access to the wireless network. Hardwired Internet connections in Ramsey Library can be used by all community members.
